In the competitive landscape of recruitment, efficiency in processing candidate data is critical. Our client needed us to develop a project aimed at streamlining HR pipelines, sought to automatically feed data from different HR platforms - in this case Indeed and ZipRecruiter into Hiring Thing. This automation would not only enhance operational efficiency but also improve the overall candidate experience.

The Challenge: Data extraction without APIs

The primary challenge was that Indeed lacked an accessible API for extracting candidate data, necessitating the development of a custom AI model to fetch emails. This model needed to fetch incoming alert emails sent to a designated email address, extract relevant data from them, and analyze CVs for specific information such as name, phone number, email, among a bunch of other important data like relevant skills based on the actual job post. Additionally, the system needed to unify data from both platforms and integrate it seamlessly into Hiring Thing - the designated platform where all the candidate data would be automatically imported..

The Strategy: Building a Comprehensive Data Pipeline

AI-Powered Email Analysis

We developed an AI analysis tool capable of parsing alert emails from Indeed. This tool extracted critical data points such as candidate names, contact information, and relevant CV details, streamlining the data collection process.

Webhook Data Integration

For ZipRecruiter, we implemented a webhook to fetch CVs and resumes encoded in base64 format. This allowed for a direct data feed from the platform, enhancing the efficiency of data retrieval.

Data Validation and Categorization

Our system was designed to analyze questions and answers within CVs, categorizing them into a unified API format suitable for Hiring Thing. This ensured that the data was structured and ready for integration, minimizing errors and discrepancies.

Dashboard for Monitoring

To provide visibility into the processing workflow, we created an interactive dashboard. This dashboard displayed processed and unprocessed entries, highlighted any missing information—such as email addresses or phone numbers—and flagged entries with potential issues, like invalid phone numbers.

It allowed him to use just one tool, to advertise on multiple platforms at once, and to fetch all the candidate information into one suitable platform that the company used on a daily basis. On top of that, the assessment of the candidates was already made, allowing the employees’ on the other side to process those applications much quicker. This allowed our client to save 80% of the time spent on those tasks.
